Sales lead management
Hotel group sales software for lead ownership and follow-through
Group business is rarely lost to a better offer. It is lost between a lead arriving and someone owning it, and again in the follow-up nobody measures. Directors of sales, GMs, and portfolio sales leaders all feel it, usually after the decision date has passed.
GuestEQ is sales lead management for hotels: every group lead gets an owner, a stage, a response time, and a scheduled follow-up—at the properties that need it, without displacing a sales platform a brand requires.
Adopt it where the gap is, keep what has to stay
Sales is a module, enabled per property. A branded hotel running a mandated sales platform keeps it. A property coordinating group leads through a shared inbox and a spreadsheet is usually where this lands first.
Those systems remaining in place is coexistence, and coexistence is not integration: whether any particular platform can exchange data with GuestEQ is a specific question about that platform, not a general capability.
Who it is for
Directors of sales
Every group lead with a named owner, a stage, and a next follow-up date, instead of a shared inbox and a spreadsheet.
General managers
At a hotel without a full sales team, a simple way to see which leads are waiting and how long they have waited.
Area and portfolio sales leaders
Conversion, booked revenue, and stage timing by hotel, user, and source, for the properties running the module.
Revenue leaders
Group business for soft dates tracked where it can be followed up, not discussed in a meeting and forgotten.
From lead to outcome
Four steps, each leaving a record the next one needs.
Step 1: Lead recorded
A group opportunity enters the pipeline with its organization, contact, dates, and source.
Step 2: Owner and stage
A named owner and a stage: New Lead, Responded, Rate Negotiation, Contract Sent, Booked, or Lost.
Step 3: Follow-up scheduled
The sales calendar carries the next step with a reason attached, so it is work rather than intention.
Step 4: Outcome recorded
Active, booked, lost, or overdue, with stage timing showing where opportunities sit.

What the module includes
Leads and pipeline
- Group lead stages: New Lead, Responded, Rate Negotiation, Contract Sent, Booked, Lost
- Filter by stay date or creation date
- Active, booked, lost, and overdue views
- Lead stage settings and new-lead controls
Follow-up and tasks
- Sales calendar in month, week, and day views
- Follow-up reasons including rates or contracts sent, information needed, rooming list, and deposit
- Assignee and follow-up-reason filters
- Shared sales tasks with pending, in-progress, and overdue totals
Lead intake and CRM records
- Screenshot import for leads from third-party sources; the import screen names HotelPlanner, Meeting Broker, and Hotel Engine
- Dedicated inbound email addresses for lead reports
- Company, venue, and client directories with search and filtering
Reporting and timing
- Lead count, conversion, booked revenue, and completion time
- Stage distribution, with outcome and source breakdowns, by hotel, user, source, and date
- Stage timing: average duration per stage and leads tracked
- Lead response timing based on business hours, working days, and holidays
Lead import from screenshots uses AI to read the lead's details. How AI is used in GuestEQ, and where people stay in charge.
What GuestEQ does, and what it does not replace
What GuestEQ does
- Records group leads and moves them through defined stages
- Assigns ownership and schedules follow-up with reasons
- Keeps company, venue, and client directories
- Reports conversion, booked revenue, source, and stage timing
- Prepares documents from reusable contract templates with lead-data variables
What it does not replace
- A full sales-and-catering or banquet-event-order system
- Your PMS, RMS, or a brand-mandated sales platform
- Automatic RFP capture from every source
- Automated email sequencing or autonomous qualification
- A verified end-to-end contract execution or e-signature workflow
Where it helps
A lead arrives through a third-party portal
It is imported into the pipeline, given an owner and a stage, and its response time starts counting against business hours rather than sitting in an inbox.
Rates sent, then silence
A follow-up with the reason “rates or contract sent” goes on the sales calendar with a date, so the next touch is scheduled work rather than a hope.
The weekly pipeline review
Stage timing shows which opportunities have sat in one stage far longer than comparable leads, so the conversation starts with the stalls.
One sales leader, several hotels
The dashboard filters by hotel, user, and source, so conversion and booked revenue can be compared across the properties running the module.
Frequently asked questions
What software helps a hotel track group inquiries?
Group lead management software. In GuestEQ, each inquiry is recorded with its organization, contact, dates, and source, given a named owner and a stage from New Lead to Booked or Lost, and followed up from a sales calendar. Response timing is measured in business hours, so slow replies are visible.
Does GuestEQ find new group prospects?
No. GuestEQ manages leads you receive or enter, including screenshot import from some third-party lead sources and inbound email addresses for lead reports. It is not a prospecting database and does not source new accounts for you.
Is GuestEQ a hotel sales CRM?
We describe it as sales lead management rather than a full CRM. It includes company, venue, and client directories, but its focus is lead ownership, stages, response timing, and follow-up. It is not a guest CRM for marketing or loyalty, and CRM analytics are not currently available.
Is GuestEQ a hotel sales and catering system?
No. GuestEQ covers group lead management and sales follow-through: lead stages, a sales calendar, CRM directories, tasks, dashboards, stage timing, and contract templates. It is not a full sales-and-catering or banquet-event-order system, and a property needing that should keep the system it uses for it.
Can we use GuestEQ sales at some hotels and not others?
Yes. Sales is a module, enabled per property. A hotel with a brand-mandated sales platform keeps it, while another property in the same portfolio can run GuestEQ for lead ownership and follow-through.
Does GuestEQ capture RFPs automatically from every source?
No. Leads are recorded in GuestEQ and moved through stages there. GuestEQ does not perform automatic capture from every RFP source, automated email sequencing, autonomous qualification, or proposal automation.
What do contract templates do?
Reusable templates hold lead-data variables so a document can be prepared from information already recorded against the opportunity. Contract sending, signature, and execution were not verified in our product review, so treat templates as document preparation rather than a completed contracting workflow.
What can above-property leaders see?
Lead counts, conversion, booked revenue, completion time, stage distribution, and outcome and source breakdowns, plus stage timing showing average duration per stage. This covers activity recorded in GuestEQ at the properties running the module.
