Tasks and checklists

Hotel task management software for daily operational follow-through

Most hotel work that slips is not difficult. It is unassigned: the guest request taken at the desk, the lobby check nobody signed off, the follow-up promised at shift change. Department heads and general managers find out when a guest mentions it.

GuestEQ gives each department a task board with owners and due dates, daily checklists built from department and shift templates, and handoff notes for what carries over, so the day's work has an owner and a finish line.

Who it is for

Anyone who runs a shift, a department, or a hotel and needs to know that today's routine and today's requests were actually done.

Department heads and supervisors

A board of today's work for the department, with who owns each task and when it is due.

Front office teams

Guest requests and follow-ups written down as tasks, and a checklist for the opening and closing routine of each shift.

General managers

What is pending, in progress, and overdue in each department, without asking each department head.

Above-property leaders

The same checklist and task workflow at each hotel that uses it, so follow-through can be reviewed the same way.

Tasks, checklists, and handoffs in one workflow

Checklists cover the routine that repeats every shift. Tasks cover the one-off work that arrives during it. Notes carry whatever is still open to the next shift.

Department tasks

  • A shared task system with department scopes: front office, housekeeping, maintenance, and sales
  • Tasks assigned to a person, with due dates
  • Kanban and list views, with status and date filters
  • Pending, in-progress, and overdue totals on each board

Daily checklists

  • Checklist templates for each department and shift
  • A control to create the day's checklist schedule
  • Task and comment areas within each checklist
  • Completed department checklists posted to the Hotel Feed

Handoffs and records

  • Pass-along and end-of-shift notes
  • Guest incident, employee incident, lost and found, and do-not-rent records
  • Department labels and search across notes
  • Notifications for task assignments, due dates, mentions, and operations notes

Context for the work

  • Room status: occupancy, housekeeping status, cleaning type, and workflow status
  • Vacant, stayover, and pending-departure room filters
  • Employee schedules by department in daily, weekly, and biweekly views
  • The Hotel Feed, a shared stream of the property's activity

What the numbers cover. Board totals, completed checklists, and notes reflect work recorded in GuestEQ. Tasks kept in another system are not included, and room status reaches GuestEQ through an imported PMS report or a manual update.

How a department's day runs

From the shift template to the handoff note, each step leaves a record.

  1. Step 1: Set up the templates

Each department's recurring routine becomes a checklist template for the shift it belongs to.

  2. Step 2: Open the day

The day's checklist schedule is created, so every department starts with its list rather than a memory of it.

  3. Step 3: Assign the one-off work

Guest requests, repairs, and follow-ups go on the right department's board with an owner and a due date.

  4. Step 4: Work the board

Tasks move across the Kanban board, and pending, in-progress, and overdue totals show where the day stands.

  5. Step 5: Hand off the shift

End-of-shift and pass-along notes record what is still open, and completed checklists appear in the Hotel Feed.

Where it helps on an ordinary day

The opening checklist that depends on who is on

The front office opening routine becomes a shift template, so the lobby walk and the arrivals check happen the same way whoever opens.

A guest request that crosses departments

A guest reports a slow drain. The request goes on the maintenance board with an owner and a due date, instead of a hallway conversation nobody records.

What is still open at shift change

The overdue total and the end-of-shift note show the incoming supervisor what carried over, before a guest has to ask twice.

The GM's morning review

Instead of walking each department, the GM starts from each board's pending and overdue totals and the checklists completed so far in the Hotel Feed.

Task management is one part of GuestEQ's hotel operations software. Each department's specialist work has its own module: room assignments and inspections in hotel housekeeping software, preventive cycles in hotel maintenance software, and team chat in hotel staff communication software.

Questions about hotel task management and checklists

What is the difference between a task and a checklist in GuestEQ?

Checklists are the recurring work: templates built for a department and shift, opened for the day, with task and comment areas. Tasks are individual pieces of work on a department's board, such as a guest request or a repair, assigned to a person with a due date.

Can each department have its own task board?

Yes. GuestEQ uses a shared task system with department scopes, so the front office, housekeeping, maintenance, and sales each work from their own board in Kanban or list view, filtered by status and date.

How does someone know a task is theirs?

Notification settings cover task assignments and due dates, as well as mentions and operations notes, so the person responsible hears about the work rather than having to find it.

What can a general manager see?

Each department board shows pending, in-progress, and overdue totals, and completed department checklists and new operations notes appear in the Hotel Feed. That view covers work recorded in GuestEQ, not tasks kept in another system.

Does this replace our PMS?

No. Reservations and property transactions stay in your PMS. Room status, which gives tasks their context, reaches GuestEQ through an imported PMS report or a manual update; whether your PMS's reports work this way is confirmed for your system during setup.
