Hotel operations software

Hotel operations software, adopted one department at a time

A hotel's day runs across housekeeping, maintenance, the front desk, and sales, and much of it is still coordinated through group texts, printed sheets, and a spreadsheet someone rebuilds every week. General managers feel it as a day spent chasing updates. Leaders above property feel it as a portfolio they can only see once a month.

GuestEQ gives each department a structured workflow and puts the day's activity in one shared Hotel Feed. Each property adopts the modules it needs, and the PMS and brand systems it relies on stay in place.

Who it is for

GuestEQ is built for hotels run by teams, not for a single owner-operator doing everything. It is most useful where several departments depend on each other and someone above the property needs to know how the day went.

General managers

One place to see what each department has done today, instead of walking the building and reading four text threads.

Department heads

Assignments, checklists, and tasks with owners and due dates, so the plan for the shift is written down rather than remembered.

Operations leaders above property

The same workflow at every hotel running a module, so results from different properties can be read the same way.

Management companies and owners

A way to improve one hotel's weak spot without forcing the whole portfolio onto a new system.

What GuestEQ covers, department by department

Each department's workflow is a module. Take the ones that fill a gap at a given hotel and leave the rest.

How a day runs in GuestEQ

The modules are separate, but the day is not. This is how they connect at a hotel running several of them.

  1. Step 1: Rooms are known

Room status comes in from an imported PMS report or a manual update, so housekeeping and the front desk start from the same room list.

  2. Step 2: Work is assigned

Housekeepers get their rooms, departments open their checklists, and maintenance works its preventive cycle and task board.

  3. Step 3: Progress is visible

Completed checklists and new notes appear in the Hotel Feed, and finished rooms wait in a supervisor's inspection queue.

  4. Step 4: The shift hands off

Pass-along and end-of-shift notes are filed by category, so the next shift reads what happened instead of asking.

  5. Step 5: Leaders get the summary

A Daily Digest covers sales, housekeeping, maintenance, and guest activity, at property or portfolio scope.

Where hotels usually start

Illustrative situations, not customer case studies. Each shows a different first module because each hotel has a different gap.

The housekeeping board is a printed sheet

A select-service hotel assigns rooms on paper and confirms inspections by radio. It starts with the housekeeping module and daily checklists; its PMS and brand systems stay exactly as they are.

Preventive maintenance lives on a clipboard

A branded hotel with housekeeping already covered needs its quarterly room pass to actually happen. It takes only the maintenance module: cycles, room checklists, due dates, and completion records.

An independent hotel with several gaps

Without a brand's toolset, an independent property often needs more at once. It combines housekeeping, maintenance, team communication, and group sales, and adds more later if needed.

The GM hears about problems last

Shift handoffs happen in personal text threads. Moving pass-along notes and incident records into GuestEQ gives the GM, and the management company, a record they can actually search.

Built inside a working hotel portfolio

GuestEQ launched in 2019 at Reneson Hotels, an owner-operator of eight hotels in Northern California, to give its teams a single place to run the day. Its founder, Scott Curran, is Reneson's COO and a 20-year hotel operations veteran. It opened to other owners and management companies in 2020. Read the GuestEQ story.

Whether we are communicating internally with team members or texting with our guests, GuestEQ keeps us organized and on track with checklists, action items, and work orders.

Questions buyers ask about hotel operations software

Is GuestEQ a property management system?

No. Reservations, payments, and property transactions stay in your PMS. GuestEQ covers the operational work around it: housekeeping, maintenance, shift handoffs, team communication, group sales follow-up, and reporting. Some information, such as room status, reaches GuestEQ through imported reports rather than a live PMS connection.

Which hotel departments does GuestEQ cover?

Housekeeping, maintenance, front office, group sales, revenue reporting, guest messaging, and meetings and events, plus daily checklists, operations notes, employee schedules, and team chat shared across departments. Above property, it adds administration across hotels, company-level chat and documents, and reporting.

How does room status get into GuestEQ?

The room screen shows occupancy status, housekeeping status, cleaning type, and workflow status for each room. Room status can be brought in from an imported PMS report; the import screen accepts HotelKey PDF reports or CSV and Excel files, and there is a manual update control. Whether your PMS's reports work this way is confirmed for your system during setup.

Does every property have to use the same modules?

No. Modules are switched on hotel by hotel. A select-service hotel might start with housekeeping and daily checklists while a full-service hotel in the same portfolio adds group sales and meetings and events.

What does hotel operations software from GuestEQ cost?

It depends on which modules each property takes on. There is no single platform price, because two portfolios rarely choose the same modules for the same hotels. Our pricing page explains how a proposal is scoped.
